When a schedule changes after appointments are booked, some of them may no longer fit. Otpho never moves them on its own. It lists them on Needs attention so you can decide what happens to each one. Owners and admins see every office's; office managers see their own offices'. Employees don't see Needs attention.
The banner on Today
When any appointment needs attention, a banner on Today says how many, such as "3 appointments need attention," and names the causes. It counts the whole business, whatever office or day you're looking at. Tap it to open Needs attention.
How the list is grouped
Appointments are grouped by what caused the clash, soonest first:
- During time off: the person has time off then.
- Office closed: a holiday closes the office that day.
- Outside opening hours: the hours at that office changed.
- No longer taking bookings: the person was deactivated.
Each appointment shows the customer, the time, the service, the person, and the office.
Decide what happens
For each appointment, tap one of these:
- Reschedule opens the times for the same service, so you can pick a new one. It keeps the same person only if the customer asked for them by name and they still take bookings. Otherwise it books anyone available.
- Cancel cancels it after you confirm. The customer is told.
- Keep anyway leaves it as booked and takes it off the list.
When the list is empty, you see Nothing needs attention.
Keep anyway
Use Keep anyway when the appointment can go ahead after all, for example if the person is coming in during their time off. The appointment then shows who kept it and when, such as "Kept anyway by Sam Rivera, Oct 31."
If something new causes a clash later, the appointment comes back on the list.
Put it back on the list
- Open the appointment from Today.
- Tap Put back on Needs attention.
If it still clashes, it shows on Needs attention again.
