Use the Book tab when a customer calls or stops by and you want to book them in. Owners, admins, and office managers can book; office managers book at their own offices. Employees don't have the Book tab.
Choose the customer
- Tap Book.
- Type part of the customer's name in Search by name, or scroll the list of customers A–Z.
- Tap the customer.
If they're not in Otpho yet, tap New customer. If your search finds no one, tap Add and the name you typed. See "Add a new customer."
Choose the office
If your business has more than one office, choose one and tap Choose a service. Otpho remembers the last office you used. With one office, you skip this step.
Choose the service and person
- Under Service, tap the service.
- Under With, tap Anyone available, or a person's name.
- Tap Choose a time.
Anyone available books whoever is free with the fewest appointments that day. Choosing a name records that the customer asked for that person.
Choose a time
- Tap a day in the week strip. Days with no open times are dimmed. Swipe the strip for another week.
- Tap a time.
- Tap Review.
Times are in the office's time zone, named under the times. If your phone is in a different time zone, your own time shows in brackets.
Review and book
The Review screen shows who it's for, when, the service, who it's with, and the office. A line at the bottom says how the customer hears about it, such as a confirmation by text now and a reminder before the appointment.
Tap Book appointment.
If someone else took that time while you were choosing, you go back to the times with a note saying it was just taken. Pick another time; nothing else is lost.
Booked
The Booked screen shows the customer, the person, and the time. A chip appears once the confirmation has gone out.
- Tap Done to see that day on Today.
- Tap Book another to start again with a new customer.
