Each customer has one record at your business, matched by their phone number. Bookings they make online and bookings you make for them share the same history. Owners and admins see every appointment on a record. Office managers see only their own offices' appointments.
Find a customer
- Tap Book.
- Type part of their first or last name in Search by name. With nothing typed, you see your customers A–Z.
Tapping a customer here starts a booking for them.
Open a customer's record
- On Today, tap one of the customer's appointments.
- Tap the customer's name at the top.
The record shows when they became a customer, and "books online" if they've booked on your booking page. Below that are counts of their visits, cancellations, and no-shows.
Their appointments
- Upcoming lists appointments still to come.
- Past lists their latest past appointments. Tap See all for the full history.
Tap any appointment to open it.
On History, appointments are listed newest first, by month. Tap All, Cancelled, or No-shows to filter them. More load as you scroll.
Book them
On the record, tap Book and their first name, for example Book Maria. Then choose the office, service, person, and time as usual.
Edit their details
- On the record, tap Edit customer.
- Change their First name or Last name.
- Under How we reach them, type a new Mobile number or Email to replace the one shown.
- If you enter a mobile number, read the text-consent script to them and tick [Name] agreed to get texts only if they say yes.
- Tap Save.
If the customer has their own Otpho account, they manage their own number and email, and you can change only their name.
