Add a new customer

Add a customer while booking, with their mobile number or email, and record that they agreed to texts.

You add a new customer as part of booking them. Their mobile number and email let Otpho send confirmations and reminders. Owners, admins, and office managers can add customers.

Add the customer

  1. Tap Book.
  2. Tap New customer. If you searched for a name and found no one, tap Add and the name instead; the name is filled in for you.
  3. Enter their First name and Last name.
  4. Enter their Mobile number, for confirmations and reminders. Only US numbers work.
  5. Enter their Email, if they want. It's optional.
  6. Tap Continue, then choose the service and time as usual.

If you leave both the number and email empty, the customer gets no confirmations or reminders.

Ask before you text

Otpho only texts a customer who has agreed to it. When you enter a mobile number, a checkbox appears: [Name] agreed to get texts. Read the script under it to the customer, word for word. It says:

"We'd like to text you about your appointments with [your business] through Otpho: confirmations, reminders, and changes. Message frequency varies, and message and data rates may apply. You can reply STOP at any time to opt out. Do you agree to get these texts?"

Tick the box only if they say yes. If you don't tick it, the number is saved, but no texts go out. They can still get email if you entered an address.

On the Review screen, the line under their name shows New customer and whether texts are on or off.

If the number is already registered

One customer record goes with each phone number. If the number belongs to someone already registered with Otpho under another name, you see a message saying so. You're booking for that person, and their details stay as they are.

If something's wrong

  • "That doesn't look like a US mobile number": check the number, or leave it empty.
  • "That email address doesn't look right": check it, or leave it empty.
  • "That number belongs to someone else": check the number, or leave it empty.

You can change a customer's name, number, or email later with Edit customer on their record.
